How to Take Orders, Process Payments and Issue Refunds

This tutorial will help you take orders, process payments and issue refunds in Ebmbook EPOS

A reminder: This tutorial is written with the notion that you’re accessing the Ebmbook software through a PC or laptop. If you are using a touchscreen terminal, tablet or smartphone, the same directions apply but with your finger instead of the mouse.

  • Sell Screen: Begin in the Ebmbook EPOS’s Sell Screen, the default screen you are presented with after entering your pin at the log in screen of the software.

 

  • Select items: To begin processing a payment, you need to add items to an order. You can do this in a two ways:
  1. Using the search bar: At the top of Sell Screen, there’s a search bar. As you begin entering text, the items at the top of the screen change in real time based on the criteria you’ve entered. In the picture below, I begin entering ‘Fallout 76’ (a video game) and its the only product that comes up. Click the item to add it to the current order.

 

2. Directly navigating to the categories: Go into any of the categories you’ve created so far by clicking on any of them.              Then click any of the items listed in them and it will be added to the order.

Click the item to directly select it for an order.

3. Taking a payment: When all items are added to the order (in this example it’s only one), you can begin taking the                payment. To do this, navigate your mouse to the menu on the right of the screen. You’ll see multiple icons or buttons that can be interacted with. For clarity, here is a brief description of each interactive element:

  • Add Customer: Allows the user to add a registered customer to this order.
  • Add Note: Leaves a note for other users in Ebmbook EPOS about this order.
  • Blue + and Red – buttons: Can increase or decrease the quantity of an item. The user can also add a number manually by typing it in the text box between the + and symbols.
  • Discounts: Can add a discount to the order.
  • Item Modifiers: Adds item modifiers to the order (i.e. toppings for a pizza).
  • Hold: Puts the order on hold until it is resumed again.
  • Print Quote: Prints a quote of the current order.
  • Add Discount: Another way to add a discount to the order.
  • Cancel: Stops the current order.
  • Pay: Opens up the payment window.

 

Next, you must add a customer to the order. Click the ‘Add Customer’ button in the order menu and it will take you the Customers screen. Select the customer from the list by click their row.

 

A menu containing information will appear on the right of the screen. The customer’s name, personal details and photo (if included) will be presented. Click the ‘Add to Order‘ button to add the customer to the current order.

 

The customer is now included in the order and can be removed by clicking the cross to the right of their name.

 

When everything is ready, click ‘Pay‘ to begin processing the payment. A window pops up that features two payment methods, ‘Cash‘ and ‘Credit Card‘.

 

Select either option since the next step is basically the same, you’ll be entering the amount of cash being tendered before clicking ‘Continue‘, which is just below the text box.

 

A pop-up window will confirm the payment has been successfully processed, with change (if any). You print the receipt or start a new sale.

 

Suppose you want to refund a recent order. To do this, click the icon in the upper left corner of the EPOS to bring the drop-down menu. Click the Orders History button to enter that segment of the EPOS.

 

Click any of the orders, in this case I’ll select the most recent one. A menu containing the order’s info will appear on the right of the screen. Click the ‘Refund‘ button to begin issuing a refund.

 

Next, enter the amount you wish to refund, along with the reason for it, and click the ‘Issue Refund‘ button to reimburse the customer.

 

Back in the Orders History screen you’ll see that the item has been refunded (check the status of it on the right of the screen and you’ll see a red horizontal bar with the words ‘Refunded’ written in it).
